NOT Synergetic! It is not intuitive and is expensive if you need to change anything. Customer Service is also very slow and not great. Our IT dept ends up doing most of the changes we may require.

You might like to use Automations to set up a series of emails to go out to parents. We use this for post Tour follow up. We send useful information regarding the year they are interested in – tailor the emails to whatever you would like.
We also send various emails to targeted groups if there are any events coming up that we can invite them to, our if we want to promote certain year groups etc.Kylie CampbellForum ParticipantHi,

Up until the new student’s first day, it is my responsibility as the Registrar to make sure they have all the info they need. We do this in bulk for start of year enrolments, but it’s more time consuming for mid year enrolments.
I have a checklist so I don’t miss any steps!
-Make sure they are added to relevant spreadsheets
– IT logins
-instigate classes being allocated
-send info re textbooks, uniform etc
– medical form and other forms sent in a pack
-Send timetable
-Send Welcome Letter
– Create the file
– SEnd family recent relevant emails that have been sent to current families
-Sport choice – put them in contact with Sport DeptBasically everything so they are feeling confident and prepared for Day one.
On their first day, I take a photo of the student when they arrive for our database, they are met by the Year Advisor, Mentor teacher and buddies, given a book pack and diary.Then it’s over to the teachers…Mentor Teacher follows up in a week or so with the family to make sure they are settling ok.

We send a Quarterly Newsletter to all leads through Funnel, our enrolment software. This newsletter picks the best and most relevant bits of our weekly newsletter for current parents and includes a call to action, invitation to tours and an enrolment update.We also send out invitations to relevant groups of leads to school events which are open to the public – school musical, wellbeing events etc. Depending on need, we also send out marketing emails to try and boost waitlists ie, send a “Have you considered Year 5 entry?” to those who have applied for Year 7 in advance.
Those who attend a tour (or do not attend) get a series of automated emails over several weeks as well.
You could also set up an automation to send applicants a birthday email each year as a way to keep your school top of mind.

We run school tour about 3 times a term and have about 60 families come along for Secondary and about 15 for Primary. We have staff members from the Senior Leadership team conducting tours (4 for Sec and 1 for Primary). We sign them in, give a name badge, they gather with selected students who assist on tours. The Principal gives a short introductory talk and then they divide into groups (colour coded) for the tour which goes for about an hour. Th registrar welcomes them at the start and is available for questions when they return from the tours.
We have tried a few things over the years but have settled on this as it works very well for us. There is a fantastic buzz in the air and it creates a sense of urgency when they see how many people are here. The tours always book out well ahead of time. They also absolutely love having the students on the tours who give their honest and frank answers to questions. Nothing scripted. Works like a charm and we get excellent feedback.

We don’t officially require two parents to sign the application, however most do. Only two required for the enrolment as it is a legal contract. -
