Basis of employment:
• 12-month contract, renewable subject to funding availability and performance. A three-months probationary period applies.
• Full-time or 0.8FTE, to be negotiated with preferred applicant
• The successful candidate will be expected to work on site at the Australian Ballet School in Southbank.
• Salary range: $65,000 – $75,000 (pro rata for 0.8 appointment), depending on experience
Position Summary
The Fundraising Administrator provides highly professional administrative and logistical support to the Development team, helping to manage donor information, process donations, and assist with fundraising campaigns and events. They are often the first point of contact for donor inquiries and play a crucial role in maintaining donor relationships. The Administrator is at the front line of ensuring that the Australian Ballet School Development Office operates smoothly and professionally at all times.

The Australian Ballet School (ABS) is Australia’s preeminent classical dance training organisation. It provides world class training and education to prepare classical dancers for a professional career with leading dance companies. The ABS operates with funding from the Australian government, student and boarding fees, and generous support from private donors. The Development Office is responsible for fundraising and stewarding supporter relationships for long-term mutual benefit.
The Position
The Fundraising Administrator provides highly professional administration and logistical support, including database management, event support, and all-round assistance for the Development portfolio at the Australian Ballet School. Reporting to the Head of Development, the position also provides occasional support for the Marketing & Communications team who work in close collaboration with the Development team.
Key responsibilities
Administration: Handling daily administrative tasks, including managing donor databases, processing donations, and issuing receipts.
Donor Communication: Responding to donor inquiries via phone, email, or in person, and assisting with donor stewardship activities like thank you letters.
Fundraising Campaigns: Assisting with the planning, execution, and evaluation of fundraising appeals and campaigns.
Database Management: Maintaining accurate and up-to-date donor records in the fundraising database / CRM (Synergetic).
Gift Processing: Handling donations, including sorting, coding, banking, and receipting.
Reporting: Assisting with the preparation of reports related to fundraising activities.
Event Support: Helping with the logistics and coordination of fundraising events.
Support for Head of Development: Meeting preparation and support; diary and travel management as and when required; occasional research tasks.
Support for Marketing & Communications: On request from the Head of Marketing & Communications, and with agreement from Head of Development, provide occasional administrative support for marketing and communications tasks.
Skills and Experience Required // Key Selection criteria:
• Strong administration and organisational skills; advanced competency across the full suite of Microsoft Office products
• Excellent communication and interpersonal skills
• Proficiency in using fundraising databases and CRM systems
• Ability to work independently and as part of a team
• Attention to detail and accuracy
• Customer service experience
• Knowledge of fundraising principles and practices
• A level of maturity and sound judgment for managing confidential information, personal and financial data, and sensitive correspondence
• Flexible and adaptable, resourceful
• Committed, outcome focused, and interested in continuous improvement, curious to find more effective ways of working and streamline processes
• Minimum education required: Completion of Year 12, and at least three years’ experience working in an office environment in a similar role and as part of a team
Desirable additional experience: some of the following would be highly regarded
• Prior work experience in the education and/or arts sectors
• Prior knowledge of the Synergetic Information System
• Events management
• Familiarity with Mailchimp
Special requirements:
• ABS is a child safe organisation. Appointment to this role requires the successful applicant to provide a valid Working-with-Children Check and National Police Check. Employment is contingent upon these clearances.
• Occasional after-hours work may be required in connection with events or performances. Time off in lieu will be available to compensate.
