We ask parents of exchange students to complete an application form (no fees payable) so we capture all info we need- incl. medical, etc in our database. They must give permission for the host parents (who are usually already parents within our school community) to be their child’s guardian, and the host parents sign a guardian form to accept responsibility. Thus parents and host parents can access the portal for that child’s information.
We ensure the host parents are not billed for their exchange student by allocating a particular constituency in the database, and advising Business Office accordingly.
This all seems to work for us.
