The Role:
St Catherine’s College has residential colleges at UWA and Curtin campuses with
accommodation for over 800 students. The Admissions Coordinator is a member of
the College Marketing & Admissions Team.
In conjunction with the Associate Director of Marketing, Admissions and Communications, the
Admissions Coordinators are responsible for the planning, management and implementation
of all aspects of resident recruitment, Enrolment and Admissions processes for the College.
These are positions demanding driven professionals who are willing to represent the College
and effectively communicate with internal and external stakeholders and the broader
community. The require outstanding business development, interpersonal and problem-solving
skills, exceptional organisational ability and attention to detail.
Key responsibilities and duties:
Enrolments
- Working with the Associate Director of Admissions, Marketing and Communications to maximise
enrolment applications and conversions. - Ensuring the efficient coordination, tracking, monitoring and analysis of enrolments to provide timely
reports to the Associate Director of Admissions, Marketing and Communications for the CEO,
Executive and Board. - Working closely with key stakeholders including universities, commercial partners, schools and
international agents to maximise enrolments and onboard students effectively. - Travelling if required to represent the College, including to schools, Expos, Open Days and other
recruitment focused events locally and regionally. - Promoting and providing professional and personalised tours of the College with prospective
residents and families. - Recruiting, training and managing a team of volunteers to assist with College tours, Open Days and
school visits. - Conducting interviews of prospective students to ensure cultural fit with the College.
- Maintaining up-to-date knowledge of the College strategic plan, activities, programs and offerings.
- Regularly reviewing the Admissions content and messaging in all collateral and on the website
ensuring it is accurate and relevant. - Collaborate with the Admissions and Marketing team members on effective planning, management
and promotion of events including Expos and Open Days. - Maintaining comprehensive knowledge of the College Scholarship program and identifying
outstanding candidates for recommendations to the Scholarship Committee.
International Enrolments
- Maintaining up-to-date knowledge of federal and state requirements such as Visa and enrolment
requirements for international students liaising with authorities where required. - Establishing and maintaining professional working relationships with education agents and English
language providers to optimise enrolments of international residents. - Dealing effectively with all admissions procedures that relate to the requirements of
International residents including student visa applications and liaise with bridging and local
English Language Schools.
Database Administration
- Maintaining an accurate database to process and track each prospect from enquiry to final
confirmation and admission. - Responding to enquiries from prospects, residents and staff in a timely, professional and courteous
manner. - Proactively and professionally managing communications with residents regarding documentation
during the application, enrolment and re-enrolment processes. - Ensuring all documentation and contracts from residents are completed accurately and submitted
within compliance requirements and admissions deadlines. - Providing accurate daily, weekly and monthly reports on occupancy, prospects and enquiries.
- Continually developing and improving database reports and templates.
- Identifying opportunities for continuous efficiency improvements in the management of the
database, admissions documentation and reporting. - Liaising with other staff including housekeeping, maintenance and reception to ensure room
readiness and smooth check-in processes.
Other duties:
• Maintain a clean and professionally presented, working environment at all times.
• Promote a safe and healthy working environment that complies with WHS requirements.
• Other duties as required from time to time.
Selection Criteria:
Essential To be successful in this position, the following are required:
Qualifications & Experience
- Degree, Diploma or a minimum of 4 years’ experience in a similar role.
- Relevant experience in admissions ideally in the higher education sector or other professional services
markets. - Demonstrated experience in CRM management.
- Demonstrated relevant and recent experience in database management – preferably StarRez or
Salesforce (minimum 3 years). - Proficient with a range of tools and products such as Office 365.

to work as part of a team is essential. - Willingness and ability to uphold and embody the values of the College.
Mandatory Requirements
- Ability to obtain a Working with Children Check, National Police Clearance and Vaccination
Certificate and any other requirements of regulatory authorities. - The right to work in Australia.
