Hi, I am about to put out an RFP for a CRM system. We currently operate Raisers Edge and are looking at alternatives for an integrated web and CRM cloud based system. I have had Potentiality recommended to me. Has anyone used this/or are using this system? How does it perform? Would you recommend it? What’s the company like to work with? Do they provide timely service? I appreciate any assistance. Amanda

I write this review in my personal capacity, having been system administrator on both of the systems you mention.
Potentiality are an integrated online platform which runs as an online community. It’s specifically set up for advancement, and mainly for educational institutions. Because it’s a specialised all-in-one software program you won’t need plug-ins or integration with WordPress for example. The beauty of this is it’s simplicity. If what they offer will fulfill your requirements then you will find it’s child play to set up and use. They can allocate different levels of access for different users too so you can have some volunteers or staff with higher access levels than your general ‘membership’ base.
Potentiality also have an intimate knowledge of our industry, this means that they slip silently being the scenes implementing upgrades and sorting out issues often without even the system administrator being aware of it until long after the fact.
Their support is great too. No tickets to lodge or calls to the USA for example. My experience was that nothing was ever too much trouble and any issues were dealt with immediately with a quick phone call.
They are able to customise their platform for each institution – within their framework of course.
Many, many of our Educate Plus members use Potentiality and I hope you get some other feedback here….

Hi Fiona,
We currently use RE for our fundraising activities, and we also use a separate email DM system, plus a separate online Events registration system. The School also operates an independent student/parent portal. None of these systems speak to each other and there is compounding cost. On top of this we have a membership body which is wanting to have a more integrated and interactive membership portal. With all these various needs we are assessing what systems are in the market and which will best meet our needs.
We have not yet made a decision but are working through our due diligence process. It’s no easy task.

For the last year, I have been looking at several CRM’s for use at Tauranga Boy’s College, and have not found any on the market which ‘play nicely’ with our other systems, (which include our school student management system Kamar), our Old Boys’ database, and our accounting package etc. I am delighted to have found a company (locally here in Tauranga!) who is building an option which will do this. It is a design work in progress, and will be seamless integration of information which has been my biggest pressure point for a holistic system for the long term. It will also be very cost effective and will also reduce resource requirements. For anyone school using Kamar, watch this space! Happy to share knowledge…

Thank you Delwynne and all who have contacted me. We went through a very rigorous RFP process and have landed with Potentiality a system based out of Australia. It is a cloud based membership/fundraising system which can speak with PC School our student management system via an API.
It is a much cheaper option than Blackbaud and seems to be very versatile. We are experiencing the usual issues of data migration but that’s how it is for the first 12 – 18 months as we flush things out of the system.Have a look at: http://ptly.com/
